ARSFC Digital Passport

The ARSFC Digital Passport is an innovative attendance and engagement system designed to guide participants through the full conference journey while verifying participation across the main sessions.

Through session-based digital checkpoints, participants will be able to complete their conference journey and become eligible for the official ARSFC Certificate of Attendance.

🎓 Certificate Eligibility: Certificates of Attendance will be issued only to participants who complete the required Digital Passport checkpoints and attend all main conference sessions or at least 8 checkpoints.

🧭 Your ARSFC Journey Map

3. Scan

At selected times, participants scan the session QR code to confirm their presence.

4. Earn

Participants who complete all required checkpoints become eligible for the Certificate of Attendance.

✅ Attendance Verification Model

Verification Step Purpose Method
Registration Check-In Confirm participant arrival Digital registration or QR scan
Session QR Code Verify session attendance QR displayed during selected session window
Session Code Reduce false check-ins Code announced live during session
Timestamp Record Document attendance timing Automatic digital timestamp
Completion Review Confirm certificate eligibility Organizing committee verification

Certificate Eligibility Pathway

Certificate of Attendance Rule

Participants must complete all required Digital Passport checkpoints to be eligible for the official ARSFC Certificate of Attendance.

Eligible: Participant completed registration and all required session checkpoints.
Not Yet Eligible: One or more required session checkpoints are missing.

🛡️ How We Ensure Real Attendance

⏱️ Limited-Time QR Codes

QR codes are displayed only during a short attendance window, preferably near the end of each session.

🔐 Live Session Codes

A session-specific code may be announced live and entered during digital check-in to confirm that the participant was physically present.

🕒 Timestamp Verification

Each check-in records the participant’s submission time, allowing the organizing committee to verify attendance windows.

👥 On-Site Monitoring

Organizers and volunteers may support attendance validation at key checkpoints to ensure smooth and reliable participation tracking.

📊 Passport Progress Example

Participants may track their progress as they complete each checkpoint:

✅ Registration ✅ Opening Session ✅ Keynote Address
✅ Session I ✅ Session II ⬜ Session III
⬜ Session IV ⬜ High-Level Panel ⬜ Closing Remarks
Progress Example: 5 / 9 Completed

This is a visual example. Actual progress will be based on verified session check-ins.

Strategic Vision: The ARSFC Digital Passport transforms attendance tracking into an engaging, transparent, and participant-centered experience while supporting accurate certificate eligibility verification.

The Digital Passport system will be implemented according to the final conference registration and attendance verification procedures.
